Work backwards from a meaningful arrival time
For a meeting, distinguish arriving at the building from being ready inside the correct office. For a flight, use the airport arrival required for your journey and airline procedures. For a hotel departure, allow time to leave the room, complete checkout and bring luggage to the pickup point.
Share the complete requirement through the private-driver page. A fixed arrival boundary is easier to plan around than an instruction to leave at an arbitrary hour. Tell the operator which commitments are fixed and which visits can move.
Give the exact pickup and destination
A district or a large complex name can conceal different entrances and vehicle approaches. Send the building, entrance or map pin for both ends. If the party needs time to reach the car from a pedestrian area or reception, include that in the practical plan.

Add stops before reviewing the timing
Hotel collections, meals, passenger pickups and errands all belong in the route assessment. State how long each appointment or visit is expected to take and whether it has a fixed start. A short extra stop can still change the approach to a later destination.

Compare a direct journey with a multi-stop day

Confirm readiness and the contact method
Agree where the party will be waiting and how you will contact the driver on the day. Keep the number and addresses available offline. Tell the operator early if checkout, an appointment or a flight update affects your readiness.
